PAYROLL ACCOUNTANT - 12 Month Position

SUMMARY:  The Payroll Accountant is responsible for processing payroll for all district employees.  This includes: data entry for employees’ time schedules; developing electronic funds transfer amounts; processing payroll checks/notifications, direct deposit, and withholding forms.  In addition, this position completes all the state and federal records associated with payroll.
REPORTS TO:  Chief Financial Officer of the District.
1.   Maintains employee files with regard to rates of pay, annual salaries, withholding                    exemptions, direct deposit and other deductions.

2.   Processes payroll time schedules for calculating of hourly earnings and the recording of          usage of vacation, personal leave, sick days, and other leaves or absences.  Prepare all        payrolls. Codes, enters, balances all payroll data into system and performs checks and          balances to ensure data integrity.

3.   Maintains current and year-to-date payroll records and payroll master file.  Processes              and balances trial registers.  Processes district’s semi-monthly payroll checks as                      required.

4.   Prepares and processes replacement checks and stop payment orders, and any wage            deduction orders.

5.   Schedules, edits, processes and prepares pay period withholding deposits, monthly                deposits, quarterly and annual reports for federal and state withholding, retirement                  withholdings and contributions, other deductions reporting and unemployment.

6.   Maintains manual ledger controls, both current and cumulative, on all payrolls for the              year.

7.   Perform other duties as assigned.
QUALIFICATIONS:  Requires a high level of demonstrated accounting, communication and organizational skills.  Significant responsibility requiring initiative and ability to work independently and accurately under periods of stress.  Due to the nature of this position, requires the ability to maintain a high degree of confidentiality.

  • High School education or equivalent. 
  • Bachelor’s degree in business preferred.
  • One to three years of related experience working with payroll processing preferred.
  • Word processing/spreadsheet experience and overall computer knowledge required.
  • Accurate math skills, records management and filing skills required.
  • Ability to work well with individuals at all levels of the organization.
  • Ability to function in a multi-task environment with frequent interruptions.
  • Computer, multi-functional copy/fax/scanner machine, adding machine, and telephone.
