New Student Intake Specialist

Black Hawk College seeks a Part-Time New Student Intake Specialist at our Quad Cities Campus in Moline, IL. Starting pay is $12.00/hour. Hours are flexible. 

This position proactively communicates with all new applicants (Quad Cities and East Campus) about next steps in the college onboarding process, evaluates multiples measures for accurate course placement and ensures success with the handoff to the assigned advisor.

  1. Conducts phone call, email or text outreach to every new college applicant (Quad Cities and East Campus) in order to provide information about next steps, verify intended academic program, and answer any questions.
  2. Responsible for receiving incoming telephone calls; expediting transfers of calls to appropriate college personnel; responding to inquiries in a courteous, accurate, concise, and professional manner.
  3. Follow-up with new college applicants to ensure receipt of official, final high school transcripts, college transcripts or test scores.
  4. Accurately reviews college and high school transcripts for incoming students and completes waivers for appropriate course placement using established academic course progression policies.
  5. Ensures program of study is correct and changes advisor assignments using student information system software to ensure accurate student records.
  6. Schedules student appointments with the correct assigned advisor using scheduling software.
  7. Maintains up-to-date knowledge of all job-related modules in the College’s student database systems.
  8. Follows FERPA guidelines in maintaining confidentiality, security, and permanency of academic records.


  1. Works collaboratively with Dual Credit Coordinators to ensure receipt and recording of appropriate placement scores for dual enrolled high school students.
  2. Works collaboratively with the TRIO Program Assistant to ensure students are assigned to the correct advisors.
  3. Refers deciding students to Career Services.
  4. Responsible for making updates to orientation and myAdvising courses using the online learning platform. 
  5. Works collaboratively with student services staff to coordinate prospective and new student events.
  6. Performs other job-related duties as assigned.

  5. Works cooperatively with all Student Services staff, particularly those responsible for carrying out steps outlined in the New Student Checklist.
  6. Works cooperatively with the TRIO Program Assistant.
  7. Works cooperatively with the general public.
  8. Works cooperatively with the personnel in other College departments.

EDUCATION AND EXPERIENCE: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)

  1. Associate’s degree or a minimum of 60 college credit hours required.
  2. Minimum of three years of experience working in an office setting performing clerical work required.
  3. Demonstrated experience working with confidential records and information required.
  4. Experience using Microsoft Office software which includes proficiency in Word, Excel, and Outlook required.
  5. Previous front-line customer service experience required.
  6. Demonstrated ability to organize workload and follow through on assignments with minimum supervision required.
  7. Excellent verbal and written communication skills required.

Please note - On July 12, 2022, Illinois Governor J. D. Pritzker rescinded Executive Order 2022-16, Vaccination or Test Mandate. 

As a result, anyone entering Black Hawk College campus locations who are not fully vaccinated will no longer be required to submit to weekly COVID-19 compliance testing. However, contact tracing will continue to be conducted and individuals need to report a positive COVID-19 test, symptoms consistent with COVID-19 or close contact with someone confirmed to have COVID-19, regardless of vaccination status.
