Grantmaking Specialist II

PURPOSE OF POSITION
The Grantmaking Specialist II will manage the competitive and non-competitive grants programs in our primary service area, the grants programs of our affiliates, grant programs of certain foundation clients, and grants from other funds as assigned. This includes receiving recommendations for, reviewing and evaluating, recording, and issuing all grants and scholarships in a way that serves the community, fulfills donor intent, and follows regulations and standards. This position will provide a high level of excellence in data management, written and verbal communications and customer service to applicants, grantees, fundholders, volunteer committee members, foundation clients, and other partners.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following are fundamental duties that an individual who holds the position must perform. This is not an exhaustive list. Other duties, in addition to these essential job functions, will be assigned at the discretion of the Vice President or Director of Grantmaking and Community Initiatives. The Grantmaking Specialists I and II will hold primary responsibility for these tasks in different focus areas as they apply to certain types of funds and grants/scholarships programs.
  • Manage Community Foundation competitive and non-competitive grants – primary service area, affiliate and grant programs of certain foundation clients, and grants from other funds as assigned:
    • Build and maintain application processes in online grant/scholarship management system.
    • Train and guide grant- or scholarship-seekers, committee members, and foundation clients on use of online system and purposes of grant/scholarship programs.
    • Perform initial review and due diligence of applications before routing them to committees or foundation clients.
    • Create and distribute materials for scheduled meetings of committees and foundation clients.
    • Coordinate committees and foundation clients: communicate with volunteers or trustees, coordinate and facilitate meetings, and help identify/orient new members.
    • Guide volunteer committees to make recommendations within fund priorities and criteria.
    • Collect and retain required documentation, including taking meeting minutes or ensuring minutes are taken.
    • Monitor grant or scholarship programs to ensure compliance and recommend and implement program and process improvements.
  • Issue grant or scholarship payments in a timely and conscientious manner:
    • Evaluate and perform due diligence on grant recommendations.
    • Complete data-entry, processing, and record keeping on recommendations or directives, in coordination with administrative support.
    • Coordinate payment correspondence and check/ACH disbursements with the Accounting Assistant and the Grantmaking Assistant.
    • Maximize use of the database and related platforms for assigned grant or scholarship programs.
    • Review fund documents and distributions, update instructions, and track fund activity regularly to preserve donor intent and follow requirements.
    • Track and maintain accurate nonprofit profile data in the database and related platforms.
  • Connect with internal and external stakeholders:
    • Maintain relationships with community partners, nonprofit organizations, and fundholders.
    • Provide excellent customer service and communicate impact to stakeholders, in order to build strong relationships with applicants, grantees, fundholders, and foundation clients.
    • Communicate with recommended grantees to secure accurate information for grant issuance.
    • Respond to grant and scholarship seekers in need of information or guidance.
    • Assist as needed to coordinate and carry out scholarship reception, with Grantmaking and Development Departments.
    • Collaborate with other staff to communicate impact to constituents, including fundholders, committee members, and foundation clients.
    • With Development team, advise current and potential donors about purposes, criteria, and processes that best meet community needs.
    • With Admin team, coordinate and ensure provision of grantmaking, administrative, and communications services to assigned foundation clients.
  • Serve as a key member of the Grantmaking & Community Initiatives Department:
    • Produce reports and materials as needed for Grantmaking & Community Initiatives Department and other staff, Board, committee, and foundation client needs.
    • Contribute to the development, execution, and improvement of grant/scholarship programs and community initiatives.
    • Represent the Community Foundation, as requested, in community meetings and groups convened by the Community Foundation or others.
    • Serve as backup to fellow Grantmaking Specialist or Director of Grantmaking & Community Initiatives as requested by VP.
    • Maintain updated procedures for position-specific tasks.
    • Travel and attend meetings, presentations and events outside the office including evenings and weekends.
